What we collect
When you submit the assessment form we may collect: your name, email, phone (including the country calling-code selection you make), company (optional), import/export direction, origin and destination labels verified for the enquiry, cargo type, and technical data needed to operate the service (for example IP address, browser user agent, timestamp, referring page where available, landing page path, standard campaign parameters such as UTM tags, and advertising click identifiers such as gclid, gbraid, wbraid or fbclid when present in the link you used). Historical enquiries may also include urgency selections, shipment basics, or technical DG fields captured under earlier form versions.
You may optionally upload documents or photos (for example invoice, packing list, SDS, office documents or cargo photos within the types we accept). Uploaded files are used only to assess and respond to your freight enquiry and are accessible to authorised staff through our systems. Please do not upload passports, payment-card data or unrelated sensitive personal documents unless we specifically ask.
Route verification (Google Places)
To reduce ambiguous free-text routes, origin and destination are verified server-side using Google Places (or a configured location provider). Autocomplete suggestions and place verification are requested from our own portal APIs; the browser does not receive a Google Places API key. Place identifiers and canonical labels returned by the provider may be stored with your enquiry so our team can assess the route. If location lookup is temporarily unavailable, we may ask you to try again or contact us directly.
Purpose and legal bases
We use this information to respond to your freight enquiry (service-request processing), operate our systems, and improve quality and security. Uploaded material is used to assess cargo and documentation requirements and to contact you about the enquiry. Submitting the form is not marketing consent. For analytics and advertising measurement, tags may run only after you grant the relevant cookie categories (see Cookies below). Those providers have their own privacy notices.
Cookies and similar technologies
We use strictly necessary cookies for security (for example session, CSRF protection and storing your cookie preference). Analytics and advertising cookies or similar storage are off by default until you accept them via the cookie banner or Cookie Settings. Details of each category are in our Cookie Policy. Persistent advertising click-ID storage in the browser remains subject to that consent model and configuration. You can also control cookies through your browser settings.
Retention
We retain enquiry records, communication logs and any uploaded enquiry documents for as long as needed to handle the enquiry, meet legal or accounting obligations, and resolve disputes, then delete or anonymise them in line with our internal practices. A formal retention schedule remains an owner governance item.
Security
We apply reasonable technical and organisational measures to restrict access to enquiry data and uploaded files (including authenticated staff access for downloads). No method of transmission or storage is completely secure; we do not claim absolute security.
Sharing
We do not sell your personal data. We may share information with service providers who assist us (for example email delivery, hosting, or messaging providers) under appropriate contracts, and where required by law.
Your rights
